This policy explains what Vera.AI collects, how it uses product and integration data, and what controls you have over workspace information.

1. Information we collect
We collect account information such as your name, email address, workspace details, authentication session data, and billing-related information when applicable.
When you use Vera.AI, we also process project context, uploaded files, URLs, notes, claims, prospect records, email drafts, sent email metadata, replies, follow-up schedules, API keys metadata, and workflow activity logs.
2. Google and email data
If you connect Gmail, Vera.AI uses the Google OAuth scopes shown during authorization to support the features you enable, including sender aliases, draft creation, sending, reply sync, and follow-up orchestration.
We use Gmail data to provide the product experience inside Vera.AI. We do not sell Gmail data or use it for unrelated advertising.
3. Files, recordings, and context
You may upload business context such as text, markdown, PDFs, documents, and meeting recordings. Vera.AI may extract text, summarize content, transcribe audio where supported, and convert useful information into claims or evidence for the agent.
You are responsible for making sure you have permission to upload and process any files, recordings, prospect information, or third-party content.
4. How we use information
We use information to operate Vera.AI, authenticate users, connect integrations, process context, run agent workflows, generate research and drafts, sync replies, schedule follow-ups, detect errors, secure the service, and improve product quality.
We may aggregate or de-identify information so it no longer identifies you or your workspace, and use that information for analytics, reliability, and product improvement.
5. Sharing and processors
We share information with service providers that help us operate the product, such as hosting, storage, authentication, email integration, AI processing, transcription, analytics, payment, and support providers.
We may disclose information if required by law, to protect rights and safety, to investigate abuse, or as part of a merger, acquisition, financing, or sale of assets.
6. Retention and deletion
We keep information for as long as needed to provide Vera.AI, comply with legal obligations, resolve disputes, enforce agreements, and maintain security and audit records.
You may request deletion of workspace data or disconnect integrations. Some backups, logs, or legally required records may remain for a limited period.
7. Security
We use technical and organizational safeguards designed to protect information, including access controls, hashed API key storage, and secure integration handling.
No internet service is perfectly secure. You should protect your account credentials, rotate exposed API keys, and limit access to trusted users.
8. Your choices
You can update workspace information, revoke API keys, disconnect Google access, change autonomous settings, and manage campaign data inside Vera.AI.
Depending on where you live, you may have rights to access, correct, delete, export, or object to certain processing of your personal information.
